Privacy policy

1. Introduction
This Privacy Policy describes how MyPortal Marketing Inc. (“MyPortal,” “we,” “us,” or “our”), operator of the MyBuildr platform (“MyBuildr” or the “Service”), collects, uses, discloses, and safeguards information. MyBuildr is a reputation management and local SEO platform used by local businesses (our “clients”) to request and manage customer reviews.
This policy covers three groups of people:
- Visitors to our website
- Platform users (staff at MyPortal and at our client businesses)
- Customers of our client businesses who receive review-request messages on their behalf
2. Information we collect
Customer contact information (provided by our clients). When a client business uses MyBuildr to request reviews from its own customers, it provides us with: name, phone number and/or email address, date of visit or service, and consent status (whether the customer agreed to receive a message). We do not collect or store health information, payment card numbers, or government-issued identification numbers as part of this process, regardless of the client's industry.
Platform user information. For staff at MyPortal and our client businesses who log into MyBuildr, we collect account information: name, email address, role, and login activity.
Automatically collected information. We collect standard technical information when the Service is used: IP address, browser and device type, pages visited, and log data.
Information from third-party services. We receive and send information through the services we integrate with, including Google Business Profile (review and location data), Twilio (message delivery status), Mailgun (email delivery status), GoHighLevel (CRM data, where connected), and Windsor.ai (aggregated marketing analytics).
3. How we use information
- Send review-request text messages and emails to a client's customers, on that client's behalf
- Operate the feedback page customers land on after clicking a review-request link
- Ingest and display reviews for a client's locations, and generate AI-assisted draft replies for client staff to review and approve
- Provide dashboards and reporting to client businesses about their own reputation data
- Maintain the security of the Service and prevent fraud or abuse
- Comply with legal obligations
4. SMS and email messaging
- We only message individuals whose consent was collected by the client business at the time of service, and recorded before that contact is uploaded to MyBuildr.
- Every text message includes opt-out instructions. Replying STOP immediately unsubscribes the recipient. Replying HELP returns support contact information.
- Message frequency is generally limited to one review-request message per visit, with at most one follow-up reminder.
- Message and data rates may apply, depending on the recipient's mobile carrier plan.
- We do not sell or share a customer's phone number or email address with third parties for their own marketing purposes. Mobile opt-in data is never shared with third parties or affiliates for marketing or promotional purposes.
5. AI processing
MyBuildr uses Anthropic's Claude models, accessed through our internal AI gateway, to generate draft reply suggestions to public customer reviews. These drafts are never published automatically — a member of the client's staff must review and approve every AI-drafted reply before it is posted. Customer contact information (names, phone numbers, emails) is not sent to the AI model; only the text of the review being replied to is used.
6. Google user data
A client business may connect its Google Business Profile to MyBuildr so that we can manage its listings and reviews on its behalf. This section describes how we handle the data we obtain from Google, and applies in addition to the rest of this policy.
What we access. With the authorising user's explicit consent we request the https://www.googleapis.com/auth/business.manage scope. We use it only to: read the business locations the authorising user manages, so a client's location can be linked to the correct listing; read the public reviews left on those locations; and publish replies to those reviews that the client's staff have written or explicitly approved. Google offers no narrower scope that permits reading reviews and publishing replies, which is why this one is requested.
What we do not do. We do not access Gmail, Google Drive, Google Calendar, Google Ads or contacts. We do not read or store any Google user data beyond business locations, reviews and replies. We do not use Google user data to train machine-learning models, and we do not sell, rent or transfer it.
How we store it. Access and refresh tokens are encrypted at rest and are used only to make requests on the client's behalf. Reviews and location details are stored in our database, isolated per client, and are retained as described in section 8. A client may revoke our access at any time from their Google account, or by disconnecting the integration in MyBuildr, after which we stop making requests and delete the stored credentials.
Limited Use. MyBuildr's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including its Limited Use requirements.
7. How we share information
We share information with:
- Service providers who help us operate the Service (hosting, Twilio for SMS, Mailgun for email, Google for posting reviews and replies, GoHighLevel, Windsor.ai)
- Government or legal authorities, where required by law
- A successor entity, in the event of a merger, acquisition, or sale of assets
We do not sell personal information.
8. Data retention
Customer contact records are retained for the duration of our relationship with the client business that uploaded them, and are deleted or anonymized within 12 months of that relationship ending or of an individual's verified deletion request — except records of messaging consent and opt-outs, which we may retain longer where needed to demonstrate compliance with messaging laws. Platform user account data is retained while the account remains active.
9. Data security
We use encryption in transit and at rest, and each client's data is logically isolated from other clients' data. No security measure is perfect, and we cannot guarantee absolute security.
10. Your rights
You can ask to access, correct, or delete your personal information, or opt out of receiving messages at any time (reply STOP to any text). To make a request, contact us at team@myportalmarketing.com.
11. Children's privacy
MyBuildr is not directed at children, and we do not knowingly collect personal information from anyone under 16 through this Service.
12. Changes to this policy
We may update this policy from time to time. Material changes will be posted here with an updated effective date.
